How do I get a staff/faculty name change in ctcLink, Canvas, and email?

Staff/Faculty Name Change at Tacoma Community College

If you need to change your name because you are trans or gender nonconforming, same-sex partners sharing a surname, recently married or divorced, have religious reasons, are having uncomfortable experiences, or any one of several reasons, and the legal documentation hasn't been processed yet, please follow these instructions to have your name changed in other areas (Canvas, campus email, etc.) while you are here at TCC.

ctcLink

Staff and Faculty have legal parameters in ctcLink tied to payroll and Social Security, and so, until the legal documentation has been processed through the Human Resources Department, a change in ctcLink is not possible and the primary name is what will appear on pay checks, IRS forms, etcetera.

Campus Email

We are able to fulfill requests to change your first name, last name, and/or email address.  Changes to last name must be processed through the Human Resources Department. Email your request to create a ticket in the Help Desk system, with the subject line "Campus Email Name Request" and include the following information in the body of the email as appropriate:

  • Old First Name
  • New First Name
  • Old Last Name
  • New Last Name
  • Old Email Address
  • New Email Address
  • ctcLink ID number
  • Personal email or telephone number in case we need to contact you

Canvas

The name handling from ctcLink to Canvas integration was updated in November 2017 to put the legal ctcLink name into the Canvas Full Name (and, by default, the Sortable Name).  The Full Name is what the course role "Teacher" sees in the Canvas Gradebook.  The Canvas Display Name, is what students and the Teacher(s) see, for example, when a student makes a post to a discussion forum.  You may request a Canvas name change using one of the two methods below.

Full, Sortable, and Display Name Change

  1. Email your request to create a ticket in the Help Desk system, with the subject line “Canvas Staff Name Change” and include the following information in the body of the email:
    • Old Name
    • New Name
    • ctcLink ID number
    • Personal email or telephone number in case we need to contact you
  2. Or, call the Student Help Desk at 253-566-5176, and ask to have your name in Canvas changed. When speaking to a Canvas Administrator, give them the following information:
    • Old Name
    • New Name
    • ctcLink ID number
