OneDrive

Please note: It's important for all employees to know that the hard drives of college-issued computers are not backed up. Since hard drives of computers are a single point of failure, please do not store documents, pictures, videos, etc. on the local drive.  Additionally, removable media (commonly known as thumb drives) or any other external media do not meet the Data Confidentiality and Security Policy of Tacoma Community College.  OneDrive is the only acceptable college resource for storing data.

 

What are the benefits and bonuses of using OneDrive?

  • Did you know that OneDrive can be installed to automatically back up your TCC computer safely to the cloud?  Your TCC files will be safely backed up if your computer has a hardware or software malfunction, gets stolen, or is lost (in the case of a laptop).  Any files you create in OneDrive are backed up whenever your system is on and has a network connection. 
  • OneDrive also has a Recycle Bin feature.  If you accidentally delete something, it can be restored.

How do I share a file or folder in OneDrive?

Step 1:  Log in to your TCC Email via your browser of choice:

Step 1:  Hover your mouse pointer over the document you wish to share, and click on the share icon

Link Settings

Step 1:  Select the options for the type of sharing you wish to allow:

  • Anyone with the link:  Gives access to anyone who receives this link, whether they receive it directly from you or are forwarded from someone else. This may include people outside of TCC, even if they are not a Student/Professor/Staff.
  • People in TCC with the link:  Gives anyone in TCC who has the link access to the file, whether they receive it directly from you or are forwarded from someone else.
  • People with existing access:  Gives access to people who already have access to the folder where the content is located.
  • Specific People:  Gives access only to the people you specify, although other people may already have access. If people forward the sharing invitation, only people who already have access to the item will be able to use the link.
  • Allow editing:   When you share items with this type of link, people can edit files, add files to a shared folder, and can delete files in a shared folder if they're signed in. Recipients can forward the link, change the list of people sharing the files or folder, and change permissions for recipients. If you're sharing a folder, people with Edit permissions can copy, move, edit, rename, share, and delete anything in the folder.  To give them read-only access, remove the blue check.
  • You can set a date for when the sharing will expire.
  • You can set a password on the content.
  • You can block the downloading of the content.

Step 2:  Click Apply to save the settings

Email

Step 1:  Type in the email of the person you wish to share the content with

Step 2:  Add a message with the password or the expiration date

Step 3:  Click Send

Link

Step 1:  To get the link to send to more than one recipient, click Copy link

Copy

Step 2:  Click on Copy to save the link to your clipboard.  You can then paste the link in a message or document

Stop Sharing

Step 1:  Under the Sharing column, click on Shared

Step 2:   Click on Stop sharing

Step 3:  Click on the button to confirm you wish to stop sharing the content

Only the member who shared the document can cancel the sharing.

 

How do I upload a file to OneDrive using a web browser?

This guide will show you how to upload a file to OneDrive.

Step 1:  Go to TCC Email via the TCC Website

Step 2: 

1)  Click on the group of squares in the upper left corner and then select OneDrive

Step 3:  Uploading link and select files or folders

Step 4: Navigate to where the file or folder is, select the document or folder you wish to upload then select Open
